Varvier Filtration sells industrial filtration systems to manufacturers in France. Their market is highly specialised — the right prospects are a defined set of manufacturing companies in specific sectors. Reaching enough of them to sustain growth was the problem.

Manual cold outreach was the team's only method. Salespeople manually identified leads from company directories and LinkedIn, manually found contact emails, wrote personalised cold emails, tracked replies in their inbox, and manually decided when and how to follow up. At best, a salesperson could reach 10–20 prospects per week.

In a specialist B2B market, that volume wasn't enough. Sales cycles are long. Not every prospect is immediately ready. We built an end-to-end outreach automation system that handles every step from lead sourcing to reply handling, with AI personalisation at the centre.

Every day, the system pulls a fresh batch of prospects from Apollo matching Varvier's ICP criteria — industry, company size, location, job title. It cross-references each contact against the CRM to skip anyone already contacted. For each new prospect, an AI agent visits their company website, reviews recent content and company profile, and generates a personalised opening line for the cold email.

The personalised contact is added to an Instantly campaign which manages sending schedule, domain rotation, and deliverability. Replies are monitored and classified by AI: interested leads are surfaced to the sales team immediately, unsubscribes are processed, and — the detail that most outreach tools miss — out-of-office replies are parsed for return dates, with the prospect automatically rescheduled to re-enter the sequence on the day they return.

Technical Challenge: The out-of-office reply handling required natural language parsing to extract return dates from varied out-of-office message formats, convert them to a scheduled re-entry date, and pause the contact's sequence until that date without any manual intervention. This edge case is where most automated outreach systems fail.
