From 1 Hour Per Quote to 5 Minutes — Without Changing a Single Tool

A luxury UK wedding venue was spending 1+ hour creating every custom quote manually. We automated the entire process inside their existing CRM and Google Sheets stack. Quotes now generate in under 60 seconds.

The Challenge

Losing Deals While Building Quotes

Amington Hall's assistants were spending the majority of their working day doing one thing: building custom quotes for wedding enquiries. Not following up with warm leads. Not coordinating events. Manually creating quotes — one by one, from scratch.

Every quote required opening Pipedrive, copying the lead's details, duplicating a Google Sheets template, populating guest counts, selecting the right catering and bar package, applying seasonal pricing, and formatting it before sending.

One hour per quote. Ten to twenty quotes per week. The team was buried.

The bigger problem: most of those leads never booked. High-consideration purchases like weddings have long sales cycles and many venues get quoted. Amington Hall was spending 60-80% of their quoting capacity on enquiries that would never convert — while the few serious leads were waiting just as long as everyone else.

"My assistants spend all day creating quotes for people who never book."

Key Pain Points:

  • Manual quote creation taking 1+ hour per enquiry
  • 10–20 quotes per week = 10–20 hours of admin per week
  • No way to prioritise serious leads over casual enquiries
  • Slow response times losing deals to venues that moved faster
  • No consistent pricing logic — each quote built differently by each assistant

The Solution

One Button. Under 60 Seconds.

We built an automated quote generation system inside the tools Amington Hall already used — Pipedrive, Google Sheets, and Make.com. No new software. No disruption to existing workflows.

The assistant opens the Google Sheets quote template, enters the Pipedrive customer ID, and clicks one button. Apps Script triggers a webhook to Make.com, which calls the Pipedrive API, retrieves the full lead record, and passes all the data back to populate the quote automatically — name, event date, guest count, selected services, catering package, seasonal pricing adjustments.

The quote is formatted, calculated, and ready to review in under 60 seconds. The assistant checks it in 2–3 minutes and sends.

Total time per quote: under 5 minutes, down from over 60.

How It Works:

  1. Assistant opens Google Sheets quote template
  2. Clicks "Generate Quote" — Apps Script form appears
  3. Pastes the Pipedrive customer ID and submits
  4. Apps Script fires webhook to Make.com
  5. Make.com calls Pipedrive API and retrieves full lead data
  6. Data populates the quote template automatically with correct pricing
  7. Assistant reviews and sends — total time under 5 minutes

Implementation: 5 hours

Technical Challenge: Amington Hall had no standardised quoting logic — each assistant built quotes differently. Before automating, we had to document and systematise the pricing rules, package options, and seasonal adjustments so the automation could apply them consistently. The system now enforces pricing logic that previously lived in individual assistants' heads.

Response times dropped from 6 hours to instant. Leads started replying faster because they were getting quotes faster — and those quotes felt personal, not templated.

The numbers back this up. A Harvard Business Review study of over 2,000 companies found that businesses responding within an hour are 7x more likely to convert leads than those who wait longer — and 60x more likely than those who wait 24 hours or more.

An MIT study reinforced this: the odds of qualifying a lead drop by over 10x within the first hour of an inquiry.

Amington Hall was sitting at 6 hours. Every quote they sent late was a booking they handed to a competitor who moved faster.

If 78% of buyers choose the first responder, where does that leave you?
Beyond response time, research shows that businesses adopting quote automation see:
- 40% reduction in quote cycle time
- Up to 25% improvement in win rates
- 70% of time previously spent on manual quoting reclaimed

The venue went from spending the better part of a workday on manual quoting to handling it in seconds — freeing the team to focus on what actually grows the business.

The Bigger Picture

Speed Wins in the Events Industry

Speed isn't just a nice-to-have in the events industry—it's the difference between winning and losing deals.

78% of buyers go with the first business that responds to them. 35–50% of deals go to whoever replies first.

If a couple or a corporate client reaches out to three venues and you're the last one to respond, you're probably not getting the booking — no matter how good your space is.

Your competitors are automating. The question is whether you are too.

Every hour you wait to automate is another week of deals walking out the door.

Frequently Asked Questions

How long does it take to implement automated quote generation?

The Amington Hall system was built and deployed in 5 hours. Most quote automation implementations take 1–3 days depending on complexity and the existing CRM setup.

What if we don't have a standardised quoting process?

That was Amington Hall's exact situation. Part of the work involved documenting and systematising their pricing rules before building the automation. We handle that as part of the build.

Do we need to change our CRM or existing tools?

No. This solution integrated with Amington Hall's existing Pipedrive CRM and Google Sheets — no new platforms, no disruption to the team's existing workflow.

Will automated quotes feel impersonal?

The opposite. The generated quote is fully personalised with the lead's name, event date, selected services, and calculated pricing. It looks and reads like a manually crafted document — just produced in seconds rather than an hour.
